Client Insurance Discussion Topics with Event Organizers
Let’s be real for a second: insurance talk isn’t exactly exciting. Yet when you’re organising a wedding, a corporate gala, or a music festival, skipping the right questions can cost you everything. I’ve seen it happen. A venue gets damaged. Perhaps a supplier backs out at the eleventh hour. Or a guest takes a bad fall. Without proper coverage, you might be paying out of your own pocket.
So before you sign that contract, here are the exact questions you need to ask your event organiser. And yes, we at Kollysphere believe in full transparency. But even if you go with another provider, ask these anyway.
Understanding Your Organiser’s Liability Policy
This is your opening question. Be direct: What kind of liability coverage does your firm carry?” Any legitimate planner should have at least two layers here.
Number one is general liability. This covers third-party bodily injury and property damage. Second, professional liability. That’s your safeguard if they forget to book the venue or lose your deposit.
From our end as Kollysphere, we send over our COIs before we even talk about payment. If an organiser hesitates or gives vague answers, consider that a giant warning sign. Walk away.
Question Two: Does Coverage Extend to Every Supplier
Here’s where things get tricky. Your lead planner might be fully covered. But what about the florist they hire? The sound technician? The tent installer?
So ask this word for word: “Does your policy cover all subcontractors? Or do I need separate proof from each one?”
Most of the time, a reputable planner carries a policy that automatically covers subcontracted labour. But never, ever assume. I once worked with a client – let’s call her Sarah – who skipped this exact question. Her caterer’s truck caught fire near the venue entrance. The main organiser’s insurance refused to pay. Sarah had to cover RM40,000 in damages. Learn from Sarah’s mistake.
What Is the Coverage Limit Per Incident
An organiser says “yes we have insurance. Great. But then you need to ask: What’s the maximum payout for a single incident?”

In Malaysia, you should look for at least RM1 million in general liability coverage. For bigger gatherings, like over 500 people, RM2 to RM5 million is far safer. Anything less than RM500,000, that’s basically just for show.
Here’s a true scenario. A wedding in Penang last year had a speaker tower fall over. It crushed two parked cars and sent three people to the hospital. Final cost? RM870,000. The planner’s policy maxed out at RM500k. The bride and groom paid the rest. Please, ask for the actual number.
Question Four: What If the Whole Thing Gets Cancelled
This question hits differently after the pandemic. Ask clearly: If we need to call it off or push dates because of a valid issue, what does your policy reimburse?”
Typical cancellation policies include things like extreme storms, venue going under, the main speaker getting hospitalised, or a close family bereavement. But note: a lot of plans now leave out pandemics and riots.
When Kollysphere agency manages an event, we help you layer separate cancellation coverage since even we can’t stop a thunderstorm or an airport closure. A good organiser will be honest about this. If someone promises “full coverage for everything”, immediately request the exclusions list. That’s where the fine print bites.
If the Organiser’s Laptops or Speakers Get Stolen, Who Pays
This one feels like the organiser’s problem. But here’s why you should care. If their computers, lighting boards, or drones are nicked the evening before your big day, they might simply cancel. Or they’ll show up with rented replacements that don’t sync properly.
So ask: Do you carry specific gear insurance, sometimes called inland marine?” That policy covers both their own kit and anything they’ve leased. If the answer is no, then request to add their gear to your own event insurance as an additional interest. A few hundred ringgit extra can save you from a last-minute disaster.
Final Question: Can I See the Certificate Right Now
This is the simplest question. Yet so many people forget to ask it. Simply ask: “Can you email me your current certificate of insurance before I make the final deposit?”
A real professional will send it within 24 hours. They’ll have it event organizer kuala lumpur ready. They won’t say “my finance person is on leave”.

At Kollysphere, we attach our COI to event organizer company every initial proposal. Why? Because credibility comes from tiny actions. And because frankly, nobody should throw a party without knowing exactly who’s financially responsible when the unexpected happens.
What Happens If You Don’t Ask These Questions
Still think insurance questions are boring? Let me share a quick story. The planner looked fantastic on paper. Nice website. Solid testimonials. But the client never pushed on coverage amounts. A storm rolled in. Tents collapsed. Two hundred thousand ringgit of AV gear was ruined. The organiser’s policy only covered RM50k for weather incidents. Guess who had to pay the other RM150k?
Please don’t let that be your story.
Ask the questions above. Get everything documented. And if an organiser makes you feel annoying for asking – smile, say thank you, and find someone else. The right organiser will never hide from insurance discussions. They’ll welcome it.
